In the final stages of a project funded by the Environmental Protection Agency (EPA), grantees are required to submit several reports as part of the closeout process. Here's a breakdown of the key reports and their requirements.

The Final Inventory Report

Grantees can request an example or template for the Final Inventory Report from their Tribal Coordinator. This report should include a detailed description of the equipment acquired during the grant period, its current value, condition, and location. Additionally, the report should provide the original purchase price, a description of how the item will be used or disposed of, and whether the item is equipment costing over $5,000 with a lifespan of more than 1 year, unused supplies costing over $5,000, real property, or federal property. The Final Inventory Report and the Optional Final GAP Inventory Report should be emailed to the EPA Tribal Coordinator within 120 days after the project period end date.

The Final Performance Report

The Final Performance Report is a written narrative of the tribe or consortium's activities under the grant. It should include a performance evaluation, addressing aspects such as the community's improvement, adherence to the original workplan, external obstacles, technical assistance, and future plans. The report should also discuss accomplishments, effectiveness of work performed, remaining problem areas, suggestions for improvement, and future goals.

The SF-425 Federal Financial Report

The SF-425 Federal Financial Report should be emailed to the EPA Finance Center and copied to the EPA Tribal Coordinator. This report covers all years of the grant and should include details about indirect costs if applicable. If the project period was extended to 5 years, the grantee should report on activities during all 5 years of the grant.

The Final Payment Request

The Final Payment Request should be submitted through the Automated Standard Application for Payments (ASAP).

Progress Reporting

Finally, progress reporting requires reviewing prior reports and submitting any remaining reports and deliverables to the EPA Tribal Coordinator within 120 days after the project period end date. This includes the Final Inventory Report, the Final Performance Report, and the SF-425 Federal Financial Report.

By adhering to these guidelines, grantees can ensure a smooth and efficient closeout process, allowing them to complete their projects and move forward with their environmental initiatives.
